Project & Communication Assistant

• Location: Schuman Roundabout, Brussels, Belgium

What will you do?

a) Projects – Coordinating EAVI’s content development, delivery, and dissemination activities in its yearly programme and EU projects (CERV, Erasmus+, Horizon Europe, and EuropeAid), supporting the implementation of events such as the European Festival of Journalism and Media Freedom and the Democracy and Information Festival, as well as collaborating with other project partners.

b) Communication – Coordinating EAVI’s content development and dissemination activities, along with its online presence, websites, social media accounts, publications and newsletters by creating, editing, and publishing engaging audio-visual and textual content on EAVI’s platforms. It includes podcast series, interviews, social media campaigns, infographics, short videos, blog posts, articles, and online interactive activities on a number of EAVI’s topics (disinformation, media literacy, AI literacy, election integrity, and so on).

Desired skills and experience

• At least one year of professional communications, design, or marketing experience, including internships and volunteering activities, in media-related topics EAVI is working on;

What will you do?

You are an efficient, highly organised, autonomous, and reliable administrator with a passion for getting the job done on time and achieving excellent results.

a) Administration – Assisting in managing EAVI’s administrative day-to-day requirements, such as collecting and registering receipts and invoices in line with Belgian and EU regulations, including liaising with the external accountant and with the payroll service provider.

This also includes providing administrative support for EAVI’s project team, preparing and maintaining accounting records, and handling some other administrative aspects of EU-funded projects (CERV, Horizon Europe, Erasmus+, EuropeAid). You will also contribute to the reporting for financial, technical, and administrative projects, prepare staff timesheets, and ensure the smooth running of the office and travel logistics.

What will you do?

You are an efficient, highly organised, autonomous, and reliable administrator with a passion for getting the job done on time and achieving excellent results.

a) Administration – Assisting in managing EAVI’s administrative day-to-day requirements, such as collecting and registering receipts and invoices in line with Belgian and EU regulations, including liaising with the external accountant and with the payroll service provider.

This also includes providing administrative support for EAVI’s project team, preparing and maintaining accounting records, and handling some other administrative aspects of EU-funded projects (CERV, Horizon Europe, Erasmus+, EuropeAid). You will also contribute to the reporting for financial, technical, and administrative projects, prepare staff timesheets, and ensure the smooth running of the office and travel logistics.

b) Development – Supporting EAVI’s project development and growth by monitoring funding opportunities (EU, international, and private), identifying and engaging partners, and contributing to consortium-building activities. You will assist in drafting, coordinating, and submitting EU-funded project proposals to ensure timely, quality applications, while participating in relevant meetings and networking activities to support broader development efforts, including partnerships and strategic initiatives.

Be aware that we expect you to be involved in many EAVI activities.

We are a small team, and we value and need each contribution.

You will report and be under the supervision of the General Manager.

Desired skills and experience

• Meticulous and high attention to detail;

• At least one year of professional experience in administration, accounting, project management, project development, or in a related administrative field, including internships and volunteering activities;

• Very strong organisational management skills; good understanding of financial and administrative processes; experience in and ability to track expenses and handle accounting documentation with financial reporting;

• Proficiency in accounting or project management tools and relevant AI applications;

• Proficiency in English and French, and the right to reside and work in Belgium;

• Knowledge of EU funding schemes in EAVI’s area of interest is desirable but not essential.

It would be an advantage to have

• Interest and passion for our core business area to support the growth and development of the activities in the Brussels office;

• A master’s degree in business, accounting, project management, or a related field;

• Previous experience at a CSO/NGO environment in a similar position;

• A tech-savvy mindset and knowledge to better perform your activities using accounting tools mindfully.
